Managing Xero Connections & Collaboration
CompassForecasting is designed to be highly secure but incredibly easy to share with your team. Here is everything you need to know about how your Xero connection works and how to safely collaborate with others.
1. Locking a Sheet to a Company
When you run the CompassForecasting Wizard for the very first time in a new Google Sheet, that spreadsheet becomes permanently “locked” to the Xero company you selected.
- Why? This is a critical security and data-integrity feature. It ensures you don’t accidentally mix “Company A’s” sales data into “Company B’s” forecast if you get confused about which window you have open.
- Forecasting for a different company: If you own multiple businesses and want to forecast for a different company, simply open a brand new, blank Google Sheet, launch the CompassForecasting extension, and select the other company from your list.
2. Multiple Sheets, One Login
Once you have securely connected your Xero account, the system remembers you.
You can create as many separate Google Sheets as you like for the same company. For example, you might want one master Google Sheet for your “Official 2026 Forecast” and a completely separate Google Sheet to play around with a wild “What if we buy our competitor?” analysis.
Because your connection is remembered, you won’t be forced to log into Xero every single time you open a new sheet.
If you ever need to disconnect completely, or if you need to switch which Xero user you are authenticating as, you can easily log out via the Manage Connections button in the Utilities menu.
3. Collaborating with Others (Sharing Your Sheet)
Because CompassForecasting lives entirely inside Google Sheets, sharing your forecast with your accountant, business partner, or client is as easy as clicking the standard blue “Share” button in the top right corner of Google Sheets.
[!WARNING] Privacy Notice: Anyone you share the Google Sheet with will be able to see all of the financial data, historical numbers, and assumptions written on the sheet. Ensure you only grant access to trusted individuals.
The Ultimate Collaboration Perk
Subscriptions in CompassForecasting are tied to the Company, not the user.
This means if you share your spreadsheet with your accountant, they can open the CompassForecasting sidebar, generate new worksheets, run “what-if” scenarios, and generate final reports using your active subscription.
Your accountant (or business partner) does not need to buy their own separate subscription just to help you manage your forecast!
