Xero Livestock Inventory Management

To ensure that your historical actuals flow accurately into Compass Forecasting and that your livestock forecasting starts from a reliable baseline, it is critical that your livestock inventory values are correctly recorded in Xero.

Compass Forecasting pulls historical data directly from your Xero ledger. If your Xero ledger does not reflect your actual livestock movements and valuations, your starting point for forecasts will be inaccurate.

This document outlines the procedure for ensuring your Xero data is correct before generating forecasts in Compass.

Why is this important?

The Compass Forecasting Livestock module uses the Closing Stock value from your most recent actual month as the Opening Stock for your first forecast month. Furthermore, accurate historical Cost of Goods Sold (COGS) figures (Opening Stock, Purchases, Natural Increase, Closing Stock) are required for accurate historical Profit & Loss reporting and variance analysis.

If you only process inventory journals in Xero annually at year-end, any monthly forecasts generated mid-year will have missing or inaccurate historical inventory values for the months leading up to the forecast.

For the most accurate cash flow and profit forecasting, we highly recommend processing livestock inventory journals in Xero monthly rather than annually.

Step 1: Conduct a Monthly Livestock Reconciliation

At the end of each month, before finalizing your accounts, determine your true livestock headcount and valuation. You need to know:

  • Opening Headcount & Value (from the end of the previous month)
  • Purchases (already in Xero via Bills/Spend Money)
  • Sales (already in Xero via Invoices/Receive Money)
  • Natural Increase (Births)
  • Losses / Deaths
  • Rations (Consumed for personal/farm use)
  • Closing Headcount & Value

Step 2: Calculate the Required Journal Adjustment

You need to adjust your Xero Balance Sheet inventory asset account to match your calculated Closing Value, and reflect the movement in the Profit & Loss.

The Adjustment: Movement = New Closing Value - Current Xero Inventory Balance

  • If the Movement is Positive (Inventory increased): You will Debit the Asset and Credit the P&L.
  • If the Movement is Negative (Inventory decreased): You will Credit the Asset and Debit the P&L.

Step 3: Process the Manual Journal in Xero

Log in to Xero and navigate to Accounting > Manual Journals > New Journal.

Set the Date to the last day of the month you are reconciling.

Scenario A: Inventory Value Increased

  1. Debit your Livestock Inventory Account (Balance Sheet Asset) by the Movement amount.
  2. Credit your Closing Stock Account (P&L Cost of Sales) by the Movement amount.

Scenario B: Inventory Value Decreased

  1. Credit your Livestock Inventory Account (Balance Sheet Asset) by the absolute Movement amount.
  2. Debit your Closing Stock Account (P&L Cost of Sales) by the absolute Movement amount.

(Note: Depending on your chart of accounts structure, you may use a single “Movement in Stock” P&L account, or distinct Opening/Closing stock accounts. Compass Forecasting can handle either setup, provided they are mapped correctly in the Wizard).

If you only process inventory journals at financial year-end, Compass Forecasting will still work, but you must be aware of the limitations:

  1. Historical P&L Distortion: Your monthly actuals in the P&L will not show the true Cost of Goods Sold for livestock, leading to distorted gross profit margins in historical months.
  2. Opening Stock Disconnect: When you start a forecast mid-year, the “Opening Stock” value pulled from Xero will be the value from the start of the financial year (since no journals have been processed since).

If you use Annual Journals and want to forecast mid-year: You will need to manually override the Opening Value and Opening Headcount inside the Compass Forecasting Livestock Modal to reflect reality, rather than relying on the stale Xero balance.

Important: Always ensure your Xero data is up-to-date and published before generating new reports in Compass Forecasting. If you make adjustments in Xero, you must close and re-open the Compass Forecasting sidebar, or click the “Resync” button if prompted, to pull in the fresh actuals.
